ProteusX Legal AI Beta Privacy Notice

1. Scope

ProteusX Consulting Inc. provides the ProteusX Legal AI beta. This notice covers its accounts, onboarding and fictional sample workspace at legal.proteusx.ai. Separately activated firm workspaces may require additional notices and agreements. This notice does not authorize submitting client documents or protected health information to the beta.

2. Information we handle

We handle the information needed to create and secure your account, including your email address, managed account identifier, verification status and sign-in information. Authentication is handled through Google Cloud Identity Platform.

We save firm-setup information you choose to provide, such as your firm's display name, practice areas, requested workflows and connections, preferences, setup progress and activation-request status. We also record the versions of notices you acknowledge and when you acknowledge them. Selecting a connection does not connect the external account or give us access to its contents.

The sample workspace saves activity associated with your account, including selected sample questions and generated sample answers, so you can return to your work. These use supplied fictional documents. We also handle operational and security records needed to run the service, which may include request times, network information, authentication events, errors and usage counters. If you contact us, we receive the message and information you include.

Do not enter client names, case details, confidential documents, health information or connector credentials in setup fields or support messages.

3. How we use information

We use information to authenticate users, save progress, run the sample workspace, review firm-setup requests, respond to support and privacy requests, prevent abuse, enforce usage limits and comply with applicable legal obligations. We may send account-verification, password-reset, security and service messages. Creating an account does not subscribe you to marketing emails.

We do not sell beta account information or use it for targeted advertising. We do not use beta account or enrollment information to train AI models. Sample inference uses the supplied fictional material and selected sample question rather than your account or firm-setup details.

4. Service providers and access

Google Cloud services support authentication, application hosting, database and file storage, and configured AI processing. Authorized ProteusX personnel and service providers may access information as necessary to operate, secure and support the service. We may also disclose information when required by law or reasonably necessary to address fraud, security threats or legal claims.

The public marketing website is hosted separately. Do not send account credentials or client material through marketing forms. Signing up does not grant access to Licatesi or any other customer's data.

5. Cookies, storage and model retention

The product uses necessary session and security mechanisms to keep you signed in and protect requests. These are separate from advertising tracking.

Your account, setup progress and sample-workspace records are intentionally stored. “Zero data retention” describes particular AI-provider processing configurations; it does not mean that your account or saved workspace is never stored. Model and data-handling requirements for real-client work are reviewed separately before a firm's activation.

6. Retention and deletion

We keep information as needed to operate your account and beta participation, handle requests, protect the service and meet applicable legal obligations. We do not promise a fixed retention period for all categories.

You may request access, correction or deletion by emailing kevin@proteusx.ai, preferably from your account email. We may verify your identity before acting. Account closure and deletion are handled by our team; they are not represented as an instant automated feature. Some records may need to be retained for legal or security reasons, and residual backup copies may remain until the applicable backup retention period expires. We will explain relevant limits when responding to your request and honor applicable privacy rights.

7. Security and changes

We use access controls and other safeguards appropriate to this beta, but no system is risk-free. Do not treat beta access as approval for confidential or regulated client use.

We may update this notice as the service changes. We will publish the current version and effective date and provide notice of material changes through the service or your account email where appropriate.
